Job Description

As an Assistant Practice Manager, you’ll play a vital role in supporting the smooth day-to-day operations of the practice. Working closely with the Practice Manager and supporting part of a Treatment Coordinator function, you’ll help ensure exceptional patient care, streamlined administrative processes, and a positive team environment.

You’ll be a key point of contact for both patients and staff and may step into leadership responsibilities when the Practice Manager is away.

Key Responsibilities

  • Enhance Patient Experience: Deliver outstanding service across all interactions, streamline reception and check-in processes, and resolve patient concerns promptly and professionally.
  • Support Daily Operations: Assist with scheduling, compliance, data management, and administrative duties to ensure smooth practice workflows. 
  • Treatment Coordination Support and Sales: Delivering outstanding care and education for new patients, ensuring a smooth consultation process and follow-up
  • Team Development: Help onboard new staff, coordinate training, and foster a positive, high-performing team culture through coaching and mentoring.
  • Financial & Growth Support: Monitor billing accuracy, patient collections, and insurance claims; contribute to achieving revenue targets and support marketing initiatives.
  • Operational Excellence: Assist with stock control, WHS audits, accreditation, and ensure compliance with infection control and practice policies.
  • Property & Equipment Management: Coordinate maintenance, repairs, and asset registers to keep the practice running efficiently.

Qualifications

  • Previous Dental Assisting experience (preferred) or highly developed clinical knowledge
  • Previous experience in managing practice budgets and costs to achieve profitable outcomes
  • Experience in Treatment Coordinator role, educating patients and delivering treatment plans and quotes
  • Excellent computer skills in a Microsoft Windows environment, including Word and Excel, coupled with experience in operating patient management software
  • Certificate III in Dental Assisting (preferred)
